Fund expense audit

Who this is for

Trustees, foundation boards, and programme controllers who need an independent test of how a fund’s money was spent — against the deed, donor restrictions, or the organisation’s own claim rules.

What you receive

• A written sampling plan before fieldwork starts
• Review of selected invoices, payment vouchers, travel claims, and approval records
• An exception log noting missing support, out-of-policy items, and weak approval trails
• A short briefing note suitable for the next trustee meeting

What is included

We agree the population (for example all programme disbursements in FY2024/25), the sample size, and the attributes to test. Fieldwork may happen at your office, our Kowloon Bay rooms, or through secure document sharing. Findings are discussed with your finance lead before the final note is issued.

What is excluded

We do not replace your statutory auditor, issue an assurance opinion under Hong Kong Standards on Assurance Engagements, or reconstruct incomplete accounting systems. Fraud investigation and forensic imaging are outside this engagement unless separately scoped.

How we work

1. Intake — fund deed excerpts, period, expense categories, and known pressure points
2. Plan — sampling method and attribute list for your sign-off
3. Test — voucher and approval trail review with queries logged
4. Close — exception discussion, final briefing, and optional follow-up check on remediation

Duration and place

Most single-fund reviews take three to six weeks from agreed plan to briefing, depending on how quickly supporting documents arrive. Meetings can be held at Skyline Tower, 39 Wang Kwong Road, Kowloon Bay, or at your premises in Hong Kong.

Preparation

Please have ready: the governing document for the fund, the chart of accounts or cost centres used, a disbursement listing for the period, and access to scanned vouchers or original files.
