Engagement process
How a fund expense audit runs from intake to trustee briefing — stages, documents, and decision points.
Fund expense audits work best when everyone knows the stages. This page is the map we share before fieldwork.
Stages
Intake call
We confirm the fund, the period, known donor rules, and who owns the voucher files. You leave with a short list of documents to assemble.
Sampling plan
We propose sample size, selection method, and attributes (eligibility, approval, support, coding). You sign off before testing starts.
Field testing
Vouchers and approvals are examined. Queries are logged with dates. Incomplete files are chased through your named contact.
Exception discussion
Draft findings are reviewed with finance. Factual corrections are welcomed; scope expansions are quoted separately.
Trustee briefing
A concise note (or full pack) goes to the board. Optional closed-session walkthrough available.
Documents we usually need
- Fund deed or donor letter excerpts covering expense rules
- Disbursement listing for the period
- Claim and approval policy in force during the period
- Access to voucher files (paper or scanned)
